STOCKROOM SYSTEMS

CUSTOMER GUIDE

Getting started with Stockroom

Set up your workspace, organize your inventory, and give your team access. The options you see depend on your workspace role, selected plan, and enabled features.

New customer subscriptions are not open yet. This guide describes using an existing workspace; it does not activate billing or a free trial.

01 / ACCESS YOUR WORKSPACE

Sign in or join your team

  1. Open the Stockroom sign-in page.
  2. Sign in with your account, or use the invitation process provided by your organization's Account Owner.
  3. If you forgot your password, use Forgot password? on the sign-in screen.

Your Account Owner controls subscription billing and workspace administration. Other employees only see tools permitted by their role.

02 / ORGANIZE YOUR PRODUCTS

Add products and inventory lists

  1. Select the appropriate inventory list for your products.
  2. Use the authorized inventory management tools to create product entries, with relevant names, item codes, categories, locations, and quantities.
  3. For an existing spreadsheet, use the available CSV import tool. Review mapped columns and sample quantities before completing the import.
  4. Set low-stock thresholds where appropriate, then review the resulting alerts.

Plan limits apply to the total products, inventory lists, and team seats in the workspace.

03 / EVERYDAY INVENTORY

Receive stock and record usage

  1. Locate the product through Master Inventory search.
  2. Use the available add/receive or remove/issue action for the work performed.
  3. Enter the quantity and confirm the change.
  4. Review the updated quantity and Activity history if the result needs checking.

If a transaction seems to have failed or the number looks wrong, check Activity before trying again to avoid recording the same movement twice.

04 / SET UP YOUR TEAM

Invite employees and assign permissions

  1. If you have permission, open the Coordinator area and Team Management.
  2. Invite employees or share the approved join process for your workspace.
  3. Assign appropriate access and review which actions each role can perform.
  4. Keep billing access limited to the Account Owner.

Inventory Coordinators can manage additional inventory tools; regular employees have a more limited workflow.

05 / OPTIONAL WORKFLOWS

Configure kits, packs and integrations

With Advanced, authorized team members can create kit recipes, build kits from components, and track finished kits and packs. Professional and Advanced may offer supported online-store connections when enabled. You do not need an online store to use core Stockroom inventory functions.

Feature Settings can simplify each workspace by keeping unneeded tools disabled.

06 / REVIEW AND EXPORT

Keep your records useful

Use low-stock alerts to spot items needing attention, Activity to review who changed quantities and when, and the authorized CSV export tools to retain a copy of inventory information.
